What is a CAL?

CAL, or Client Access License, gives users or devices the legal right to access Microsoft server software that is installed on a server. Customers will need a CAL for each user (a User CAL) or device (a Device CAL) that accesses the Windows Server installation.

With Windows Server 2012 R2 and Windows Server 2012, User CALs and Device CALs are no longer included as part of the Windows Server software and must be purchased separately. We often see customers asking what the difference is between User CALs and Device CALs, and what they should consider when choosing which to use.

User CALs: A User CAL is required for each user who accesses the server in order to use services such as file storage or printing, regardless of the number of devices they use for that access. When employees need to have roaming access to the corporate network using multiple devices, or if there are more devices than users in the organization, User CALs should be used.

Device CALs: A Device CAL is required for every device that accesses the server, regardless of the number of users who use that device for accessing the server. Device CALs make economic and administrative sense when the company has workers who share devices, such as with shift workers.

 RDS CALs: In addition to User CALs and Device CALs, there is a third kind of CAL we should mention, Remote Desktop Service CALs (RDS CALs). RDS CALs are required if the user or device is accessing or using the terminal server functionality of Windows Server 2012 Standard or Datacenter editions as well as Windows Server 2012 R2 Standard or Datacenter editions.
